Activity View

In "Activity View" of the main Activities & Priorities (AAP or A&P) window you can enter the time, spent for an activity, in the left panel, and see priorities of your activities in the right one. While entering the time you need not be too precise. AAP program is tolerant. Small errors are not important. AAP forgives and forgets them.

There are also many other actions that you can perform in Activity View. For example, you can view additional information about activities (e.g. statistics), set properties, rearrange, insert, delete, rename them etc. Pop -up menu for most of these actions can be called clicking with the right mouse button on the corresponding panel. The most frequently used operations can be performed directly in the panels or with toolbar buttons. Less frequently used commands are in main menu.

Priority of Activities Panel

We begin our description with the simpler "Priority of Activities" panel. In Priority panel the activities are ordered according to their priorities. The activities with the higher priorities are at the top.

The numbers in "Priority" column characterize priorities quantitatively. If you spend approximately the planned time part for a given activity its priority value will be about 50 or a little higher. You should not overestimate the significance of absolute values of the priorities however. For example, if you input time spent yesterday in the morning of the present day the regular priority will be always higher than 50 because nothing have been done yet in present day. What is really important, are the relative priorities. You can always see what to do first at the top of the panel.

Now we briefly describe the meaning of the row colors. If the time spent for an activity is certainly more or equal to plan, the corresponding row will be green. White rows qualitatively correspond to activities which priorities might be a little higher than normal but the deviation in a way not very large or significant. Orange color corresponds to activities in danger zone. Time spent for such activities is significantly smaller than was planned. And finally red color means that attention paid to this activity is very small. We would like to stress once more that order or relative value of a priority is more significant than the color and that activities of higher priorities are at the top of the table.

Additional information about the time spent for an activity and the statistics of the spending can be seen in the Activity Item Info dialog that appears when you first click on Priority panel. The information in this dialog corresponds to row activated in the panel. It changes when you activate another row either by mouse click or moving with vertical arrow keys.

The pop - up menu of the Priority panel has only two items. Clicking on "Activity Item Info" opens Activity Item Info dialog and clicking on Division View opens "Priority (Divisions)" were it is convenient to compare the priorities of the divisions. We would like to note here that the priorities of the divisions although useful are not as important as the priorities of the individual activities. It may happen that the priority of a division as a whole is low because most of its activities have low priories while the division contains an activity with very high priority. Of course such an activity deserves special attention and it can be most clearly seen rather in the Activity than in the Division panel.

Input Panel

Input Panel is most often used to enter the time spent on an activity in a particular day. Of course, you first should select the day to input ("Active Day)". Fortunately in most cases the program does it for you. When Activities and Priorities starts it sets active day either for today or yesterday depending on the option you chose. Setting active day for today is convenient if you prefer to input spent time in the evening of the same day and setting for yesterday is convenient if you usually input spent hours in the morning of the next day. You can switch active day back or forward with the buttons and . To switch several days back or forward you can use the calendar that can be called with the menu entry "View>for a Date" of the main menu at the top of the main window. When you input hours for rather distant past, there are special features that make it easier for you.

To enter the time you can simply click in a cell at the cross section of the activity row and column with title " Hours Spent in ..." and than type the time. Time is in the natural units. For example, to input 2 hours 15 minutes you can type either 2.15 or 2:15. After finishing the typing press the Enter key. For you convenience simple arithmetic operations are allowed. Note that in this version, if you enter minutes alone, you still must explicitly type 0 for hours. For example if you would like to enter 12 minutes you should type 0.12 or 0:12
